Document the asset before and after every rental.
A careful handover helps both owners and renters reduce confusion around condition, accessories, timing, and return expectations.
Before handover checklist
Owners should ensure the asset is fully functional, clean, and prepared for use (e.g., batteries charged, sensors clean). Renters should review the agreed-upon deposit and rental terms so they are ready for a smooth pickup.
During handover checklist
Meet in a safe, well-lit public location. Take your time to turn on the equipment and verify core functionality. Confirm the return time and location face-to-face. Both parties should feel confident before leaving.
Return checklist
Renters should return the asset in the exact condition it was received. Owners must inspect the equipment promptly upon return. If everything is in order, the security deposit workflow concludes as agreed.
Photos and condition notes
Documentation is your best protection. Both the owner and renter should take clear, well-lit photos of the asset from multiple angles at the exact time of handover. Be sure to photograph any pre-existing scratches or wear and tear, and agree on them verbally or in writing.
Accessories and missing items
Count and document every accessory included in the rental—lens caps, cables, batteries, SD cards, and bags. A missing lens cap or proprietary cable can cause significant delays. Create a simple itemized list that both parties can reference.
Timing and communication
Punctuality respects everyone's time. Communicate immediately if you are running late for a pickup or return. A late return without communication can cause anxiety and may affect the owner's subsequent rental commitments.
